Title:  Specialized Order Coordinator

Location: Remote with occasional travel to Edinburgh/Glasgow for quarterly company meet-ups. We are looking for candidates based within the Edinburgh/Glasgow ‘commuter belt’ in Scotland.
Hours: 9am-5pm (some flexibility available for this role on hours)

Duration: 6 months, with possibility of extension

Salary: £25,000-£27,000, pro-rated to reflect contract length

This innovative approach makes sales reps lives easier by allowing them to support more accounts in less time while also drastically reducing the production of generic marketing content that often ends up in landfill.

Job requirements

About the role:

As a Specialized Order Coordinator, you’ll be focused on Food, high value, TDM, and bulk orders. You’ll be an integral part of our operations, ensuring that premium orders are coordinated accurately and efficiently. You’ll act as a critical liaison between suppliers, sales teams, and internal departments to manage and prioritize complex, high-stakes orders. You’ll be the key driver of quality and compliance.

Efficiency and attention to detail are key! We are looking for someone who is able to confidently work alongside our internal team in order to deliver results – this will involve compliance with established workflows and ensuring close management and prioritisation of day-to-day workloads.

You’ll engage with our suppliers and operations teams across the business. A positive approach to relationships, great communication skills and a can-do attitude is important.



What you’ll do?

  • Coordinate and manage specialized orders across Food, high value, TDM, and bulk segments
  • Execute order processing by reviewing, verifying, and applying pricing structures, including cost markups and chargeback estimations where applicable
  • Liaise with suppliers to secure competitive pricing and ensure that order specifications are met accurately
  • Oversee order workflow and update records to reflect any changes or adjustments required, ensuring compliance with established guidelines
  • Monitor order status and progress, proactively addressing issues and escalating concerns as needed
  • Collaborate with Customer Success and Operations teams to resolve ambiguities, streamline processes, and enhance customer experience
  • Maintain clear communication with internal stakeholders to ensure that all aspects of the order—from quotation to fulfilment—meet quality and regulatory standards



What you’ll bring:

  • Strong attention to detail and ability to maintain high accuracy and prioritize at pace in a high-volume environment.
  • Extremely organised mindset and the ability to keep calm under pressure is a key requirement for this role.
  • Excellent communication and problem-solving skills, with the ability to liaise effectively with vendors and internal teams.
  • Collaborative approach to issue resolution.
  • Proficiency in workflow software preferred – our team uses Asana, but similar software understanding (Monday, Trello) will suffice.
  • Proven experience in fast paced administrative role
  • A proactive, problem-solving mindset with the ability to identify process improvements and drive efficiency in order coordination


Beneficial but not required

  • Proven experience in coordinating complex, high-value orders in a fast-paced, specialized environment (preferably within food, hospitality, or bulk print sectors)
  • Prior knowledge of US Hospitality and Alcohol Beverage industry clients and/or Print knowledge preferred.
  • Basic knowledge of design software (Photoshop/InDesign) to review and validate assets.
  • Understanding of print specifications, including resolution and formatting for production.
  • Prior knowledge of US Hospitality and Alcohol Beverage industry clients and/or Print knowledge preferred.
  • Prior experience in a compliance-driven environment/agency experience is a plus.
