Title:   Custom Print Administrator 

Location: Remote with occasional travel to Edinburgh/Glasgow for quarterly company meet-ups. We are looking for candidates based within the Edinburgh/Glasgow ‘commuter belt’ in Scotland. 
Hours: 9am-5pm (some flexibility available for this role on hours) 

Duration: 6 months, with possibility of extension 

Salary: £25,000-£27,000, pro-rated to reflect contract length

Job requirements

As a Custom Print Administrator, you'll be an integral part of the Custom Design + Print team. This flex role will be focused on delivering efficient administrative support for two key business functions: pricing estimations and asset administration.  

 

You're core focus will be to support our estimation team, ensuring that orders are accurately quoted, applying print costs and markups to orders by self-quoting using our internal tooling. During peak periods, you’ll also step in to support the design team, to make sure that all design briefs are fully equipped with high-quality, compliant, and accessible assets before being handed over to designers.  

 

Efficiency and attention to detail are key! We are looking for someone who is able to confidently work alongside our internal team in order to deliver results – this will involve compliance with established workflows and ensuring close management and prioritisation of day-to-day workloads.  

 

You’ll engage with our suppliers and operations teams across the business. A positive approach to relationships, great communication skills and a can-do attitude is important. 

What you’ll do:

 

  • Execute manual and supplier quoting processes; routing quotes to appropriate vendors or self-quoting on orders where necessary. 

  • Review supplier quotes to ensure accuracy, alignment with requested specifications and consistent mark-ups across product types. 

  • Estimate appropriate margins based on overall costs to maximize business benefits. 

  • Perform chargeback estimations and detail for approval by external managers. 

  • Act as second-line quality assurance to ensure order details match client requirements and align with expected practices. 

  • Identify and address compliance issues during the review process, escalating as necessary. 

  • Manage and prioritize orders to meet deadlines, event dates and KPIs 

  • Action change requests for orders with incorrect or incomplete descriptions, product specification changes, or scope alterations. 

  • Escalate issues to relevant teams or leadership based on severity or necessity. 

  • Ad-hoc support on asset procurement; reviewing Design Briefs and sourcing assets via Supplier DAMs/hyble’s internal DAM, then uploading to Design toolkit.  

  • Ad-hoc support on ingest; reviewing jobs specs, liaising with customer to push back/request further clarification on any incomplete or uncompliant brief submissions, and assigning appropriate status/assignee. 
     

What you’ll bring: 

  • Strong attention to detail and ability to maintain high accuracy and prioritize at pace in a high-volume environment.  

  • Extremely organised mindset and the ability to keep calm under pressure is a key requirement for this role.  

  • Excellent communication and problem-solving skills, with the ability to liaise effectively with vendors and internal teams. 

  • Collaborative approach to issue resolution. 

  • Proven experience in fast paced administrative role 

  • Problem solving – ability to identify and resolve challenges efficiently.  

  • Proficiency in workflow software preferred – our team uses Asana, but similar software understanding (Monday, Trello) will suffice. 

Beneficial but not required  

  • Prior knowledge of US Hospitality and Alcohol Beverage industry clients and/or Print knowledge preferred.  

  • Basic knowledge of design software (Photoshop/InDesign) to review and validate assets. 

  • Understanding of print specifications, including resolution and formatting for production. 

  • Prior knowledge of US Hospitality and Alcohol Beverage industry clients and/or Print knowledge preferred. 

  • Prior experience in a compliance-driven environment/agency experience is a plus.
